Mansion Usage & Guidelines Information

 

The following regulations are put in place to protect this historic and valuable property as well as minimize the costs of potential maintenance and repair to Red Berry Mansion (RBM). It is our goal to preserve the estate and to ensure its use by the public for many years to come.

Rental Hours: You may enter the grounds and mansion at the time your rental begins (as stated on the contract). You may purchase additional hours prior to the event at $150 per hour. The rate will increase if you decide to add hours the day of the event to $250 per hour. Vendors will have one hour to break down and leave the property at the time your contract states. If the renting party stays past the designated time, the client will be charged an additional $250 per hour extra.

Setup time per event: To assure appropriate time for vendors and the client’s setup, events with 150-249 guests, are required to have a three (3) hour minimum setup time prior to the start of the event. Events with more than 250 guests require a minimum of a four (4) hour setup prior to the start of the event. Example: If you have an event for 180, and you purchased an evening rate beginning at 3pm, you will just need to have your event start no earlier than 6pm.

A security deposit of $250 is required for any event along with the purchase of a TULIP (Tenant Users Liability Insurance Policy). Assuming nothing gets damaged at the event, the $250 will be returned approximately two weeks after the event.

An on-site Facility Manager will be on property during your entire event to make sure the facility is operating properly as well as coordinate all maintenance, security and parking personal.

Security guards are required for every event. A minimum of two security guards are required for the first 100 guests, and an additional guard for each additional 100 guests. The guards will be charged at a rate of $27 per hour per guard. . One guard is required to be in place at the start time of the event until one hour after event concludes. Remaining guards will be in place at the start time of the event and will depart when event concludes.

Parking attendants are required for any event parking 50 (100 guests) cars or more. A parking attendant is required for each 50 cars. Parking attendants are billed at a rate of $17 per hour per attendant. Maximum parking capacity is 250 cars. For any event parking over 250 cars, off-site parking with shuttle service is available. The shuttle expense is the responsibility of the renter but RBM will help in coordinating.

It is required to use one of RBM's exclusive caterers as well as one of our exclusive rental companies for your tables, chairs, tents, and additional lighting. RBM also has a list of preferred vendors that we strongly recommend for any events at the mansion. These vendors are familiar with the Mansion’s use and regulations and help to ensure the event is a success and that there is no damage to the property. A 15% service fee for Red Berry Mansion will be added to you food catering bill.

Alcohol must be served by a RBM caterer’s TABC licensed bartenders or RBM’s required bartending services. Please discuss your options for alcohol at your event with your caterer to determine what is best for your event.

No furniture or antiques within the house are to be used or moved without prior approval from RBM. Caterers are not to use any existing tables for food service without prior approval from RBM. Nothing is to be attached to the walls, furniture or fixtures in any way within the Mansion. Outside décor must be pre-approved by RBM to ensure proper attachment materials are being used. The piano may not be moved, but can be used.

If your event requires anything more than basic electrical needs inside or outside the Mansion please present your electrical needs in writing to RBM two weeks prior to event. Please coordinate with your rental company in determining if additional electricity is needed. RBM will review your needs and inform you in writing whether or not we can accommodate them. In the event that we cannot, a generator will be necessary and will be the responsibility of the renter. Please let RBM know if you plan on having margarita machines. The machines use a lot of power and have caused breakers to trip. If you have more than one margarita machine, it is suggested to have a small, portable generator.

All rental equipment (tables, chairs, etc.), food and beverages must be removed immediately following your event. The Mansion does not have the facilities to store these items overnight.

Because of the potential harm to the animals on the property the use of rice, confetti, glitter or potpourri is strictly prohibited. Birdseed may be used outside the Mansion.

The renting client will be held responsible for any damage to the property as well as the conduct of their invited guests.

Flower Petals may be used but are the responsibility of the client to pick up. If the client does not pick up the petals, a fee of $50 will be assessed.
